Status vocabulary

Not every number means the same thing.

The evidence state stays attached to the number, including when supporting records are partial, stale, or unavailable.

Estimated
Useful for a decision, not a result.
Decision recorded
Proves what the manager chose.
Measured
Observed after the defined window.
Confirmed
Evidence and method are complete.
Partial
Some supporting records or periods are missing. The number is limited to the available evidence.
Stale
The number has not been refreshed. Check its timestamp before using it for a current decision.
Unavailable
The source is missing or cannot support the claim.

Between steps 02 and 05 · the decision record is what survives

Decision history links source review, cost change, recipe impact and the manager’s decision.

The projection and the decision record are produced on the day. The outcome is classified later, against the window that was agreed before the decision was made.

Terms that must not be used interchangeably.

Recipe cost
The defined ingredient and other included per-serving costs in the versioned recipe calculation.
Theoretical food cost
The cost expected from recipe quantities, yields, prices, and items sold under defined assumptions.
Actual food cost
A period measure based on inventory and purchases under an agreed accounting method. It needs beginning inventory, purchases, ending inventory, sales, and clear definitions.
Contribution margin
Selling price less the variable costs included in the calculation. It contributes to fixed costs and profit; it is not net profit.
Gross margin
Net sales less cost of goods sold under the restaurant’s accounting definitions, before operating expenses.
Cash flow
The timing and amount of cash entering and leaving the business. An item’s economics alone do not establish cash flow.
Estimated waste exposure
Documented value that may be at risk based on quantity, time, cost, and available inventory evidence. It is not realized waste.
Realized waste
A recorded disposal, spoilage, loss, or other defined outcome after the fact.
